Assist with executing Roadshows - provide logistics support on Equity Deal / Debt Deal / Debt Non Deal / Bank Meetings / Ratings Meetings / Credit Roadshows Job Background/context:
Reporting directly to the Senior Roadshows Manager, Global Event Marketing, APAC, based in Hong Kong.
This role will work closely with the Senior Roadshow Coordinators and assist with executing Roadshows in APAC region. Providing logistical support to Clients & Bankers. Roadshows types include Equity Deal, Debt Deal, Debt Non Deal, Bank Meetings, Ratings Meetings, Credit Roadshows
The ideal candidate will be a team player and can take directions
Help to arrange all logistics (Airfares / Hotels / Car / Function Rooms / Luncheons / Dinners) for Roadshows
Liaise closely with businesses (Capital Markets Bankers / Investment Banking Bankers / Business Manager, Compliance) on the Meetings, Logistics & Approvals process
Communicate and adhere to Citi policies as well as Global Event Marketing (GEM) policies and best practices
Prepare budgets and final budget reconciliation
Provide monthly Roadshows summary and cost saves reporting
Support the team in key regional and global initiatives
Liaise with the Capital Markets Bankers & Investment Banking Bankers supporting them on Roadshows across the APAC region and with internal business areas across Citi, External Corporate clients and Investors
Collaboration with other regional teams to share best practices and coordinate/ support execution of offshore Roadshows
Suggest most appropriate vendors and venues to ensure best in class service
Assist with organization of all Roadshows logistics - airfare, hotel accommodation, cars, venue, banqueting, print, design banner, AV equipment, collate RSVP list etc.
Detailed budgeting and post event cost reconciliations with a focus on negotiation and cost saves
Provide administrative support for the APAC Roadshow Team, including payment of invoices
Liaison & coordination with Compliance, Competing Banks, PR firms & External Roadshows company
Carrying out hotel site visits and provide on-site management of events in APAC
Ensure Post Roadshows Close-out Audit files are completed in a timely manner
Assisting team members on all logistics as required- Liaison between Roadshows Desk and Businesses/ Functions
Build and maintain good working relationship with key individuals in each of the businesses and functions
Work on the continued process of smooth integration of the GEM Roadshows and Events team with internal client base
Act as liaison to raise awareness and governance around event policy.
Ensure correct and consistent branding of all Roadshows / events and that all Roadshows are executed to high standards.
Job-holder will have the responsibility to work on own Roadshows from inception to completion, dealing with a wide variety of internal and external clients
