Broward County's Greater Fort Lauderdale Convention and Visitors Bureau (Visit Lauderdale) is looking for an experienced Administrative Coordinator to support its sales efforts. Overall, the position will support the sales efforts of the agency by managing a staff of administrative assistants and performing administrative duties and correspondence with internal and external customers.
This position will process travel, reimbursement, and other payment and archival work for the entire sales department staff. This position will assist in coordinating sales programs, which may involve speaking with community partners and organizing plans with internal staff, and working with meeting planner customers.
This position may be responsible for some logistical aspects of events hosted by the GFLCVB. This includes recording attendee registrations and payments for events hosted by the GFLCVB. In addition, this position may help with other organizational duties related to events hosted by the GFLCVB including, but not limited to, booking services, determining seating and other logistical plans. The successful candidate will have strong organizational and communications skills.
This position may cover breaks, lunches, and absences for the front desk.
This position will supervise a team of Administrative Assistants, support management staff, and ensure that overall daily office operations run efficiently and effectively.
This position is responsible for submission of daily, monthly, quarterly, and yearly sales reports and maintaining department database and other sales tools.
This position may act as a backup for financial transactions.
Prior experience at a hotel, convention center, or in travel industry in a coordinator role for administrative, sales, or other similar segment is necessary.
In the event of a disaster (hurricane, etc.) all Broward County employees become emergency workers. This position will assist in various emergency functions as assigned before, during, and after a disaster. This includes, but is not limited to, working at a general population shelter during a hurricane.
Performs administrative work assisting in the coordination and administration of business operations and functions. Works under general supervision, independently developing work methods and sequences.
Minimum Education and Experience Requirements
Requires an Associate's degree from an accredited college or university with major coursework in business or public administration or closely related field. (Two years of relevant experience may be substituted for each year of required education.)
Requires four (4) years in staff administration, management, and organization or closely related experience including six (6) months lead work/supervisory experience depending on area of assignment.
Special Certifications and Licenses
Supervisory experience preferred.
Experience with management of a CRM software and Cvent preferred.
