Baylor University's Department of Marketing is seeking a full time Office Manager that will help support the mission of Baylor University by supporting students, faculty and staff. The job description is intended to describe the general nature and level of work being performed. A High School Diploma, less than two years of relevant work experience and an active Christian faith are required. An Associates degree and three years of relevant work experience is preferred.
Applicants must be currently authorized to work in the United States on a full-time basis.
What You Will Do
Serve as 'face of department'. Greet visitors, students, etc. Maintain phones with assistance from student workers.
Serve as general support for department chair including assisting in GA assignments, internship coordination, scholarship applications, etc.
Responsible for student workers in department.
Course scheduling.
Evaluating course equivalencies.
Issue permits and prerequisite waivers for students during registration.
Type manuscripts, correspondence, mailing lists, surveys and other materials along with coordinating the duplicating or printing of aforementioned materials.
Provide 'key operator' assistance on copier, maintain supplies and service.
Make sure that all needs of new faculty are handled such as long distance codes, email, voice mail, etc.
Manage department purchasing card, travel records, office supplies, copy supplies and budgets. Assist with travel expense reports as needed.
Assist as needed in overseeing student subject pool and other activities related to faculty research.
Coordinate campus visits for prospective students and faculty.
Preparation of examinations, transparencies, and PowerPoint presentations for faculty members.
Order textbooks for all marketing classes, including desk copies and review copies each semester.
Proctor exams when professor is not available.
Schedule and coordinate events, classrooms, and card slide access for department.
Assist faculty, graduate assistants and student workers with computer software and equipment.
Maintain websites, databases, and software for jobs, department, test bank, faculty syllabi and faculty information including department website, LinkedIn, etc.
Serve as general support for Digital Measures and Blackboard.
Provide research and curriculum project support when needed.
Follow IGNITE procedures/processes including entering Contract Requests, Vendor/Supplier Approvals, entering Purchase Orders, After the Fact Payment Requests, Marketplace (supplies) orders and payments. Reconcile Purchasing Card entries, enter Travel Agency Authorizations, track payments to suppliers and correspond regarding problems, delays, questions, etc. with Accounts Payable Department. Act as a resource to faculty in navigating the Ignite system.
