Job Description The Project and Operations Assistant reports to the Project and Operations Manager of Questrom Marketing & Communications (MarCom). Manages the day-to-day work on the departmental budget. This would include ordering and tracking purchases in procurement by creating PO's, disbursements, submitting ISR's, FSR's, communicating with vendors, and journal entries and tracking all expenses. Follow up on orders to ensure accuracy and efficient budget reporting on all purchases and providing the Project and Operations Manager with quarterly budget reports on spend. Would also be responsible to monitoring the advertising spend on the P-Card to ensure that campaigns are running.
Works with the Project & Operations Manager to ensure that all projects are accounted for in the project management software, track all projects from receipt to fulfillment and delivery. Generates quarterly reports of all projects received and break down of scope of work/time for each project.
Responsible for ensuring that the back end of the operations moves the team forward and that the team has the resources needed to do the work.
Required Skills
BA/BS strongly preferred
3+ years professional experience related to financial management and/or budget related work
Experience overseeing a significant budget
Experience with SAP/Ariba
Fluent with MS office Software
Enthusiasm and capability to master new technologies and new processes
Meticulous, initiative-taking, and collaborative
Strong interpersonal and communications skills
Strong customer service skills
Able to negotiate solutions on all levels - efficiently and effectively
Ability to multi-task is necessary
Passion for working with financial data and generate quarterly reports
