Job Summary:
Under general supervision of the Director of Alumni Relations, this position will foster relationships with alumni that build strong ties to CSUSB that leads to increased engagement and philanthropic support for the university. The Specialist will support the long term CSUSB alumni and student engagement strategy to enhance the University's connection to alumni locally, nationally, and internationally. This position will create, implement and coordinate programming, communication strategies and initiatives in support of Office of Alumni Relations goals.
Duties and responsibilities
Membership:
Ability to take initiative and independently plan, organize, and coordinate work in various situations where numerous and diverse demands are involved. Responsibilities include organizing the production, scheduling, and delivery of a membership marketing strategy. Create and implement a multifaceted plan to effectively reach targeted market segments and assess an alumni branding methodology that aligns with institutional goals and alumni interests.
Coordinate member experience process to ensure members receive incentives, renewals and welcome packets in a timely fashion. Identify trends, gaps, and opportunities to recommend alternatives for better member experience.
Facilitate regular membership surveys to collect, evaluate, and interpret data on member experiences to create sound conclusions and recommendations for new products and/or services that add value to members.
Collaborate with Office Coordinator to monitor, track, and implement improvements in members progress towards fulfilling their installment and auto-dues payment plans.
Coordinate events and develop strategies to increase the number of alumni donors to the university through the Alumni Membership campaign. Utilize data to analyze shifts and trends in students and alumni in the program to anticipate problems, craft strategic next steps, and address them proactively to align with departmental strategy.
Marketing:
Coordinate the production, scheduling and delivery of a comprehensive departmental communications and marketing strategy. Create a multi-layered approach to identify market segments, then assess and implement alumni branding methodology to ensure alignment with institutional goals.
Utilize considerable judgment and discretion to create and post targeted messaging to engages alumni in dialogue. Monitor the impact of communication activities, utilizing analytical skills, to assess effectiveness to make informed strategic adjustments.
Deliver consistent and engaging communication to the alumni community for outreach and events through various communication channels, ensuring all materials present a unified voice.
Research, create and write content ideas for all promotions, including e-Newsletter, appropriate print publications and collateral, social media programs, alumni advertising campaigns and other marketing materials as they arise.
Evaluate and optimize print, email and social media marketing strategies, including publicity and collateral strategies for all departmental programs. Update and maintain the CSUSB Alumni social media platforms, ensuring regular publication of original content and sharing external content for CSUSB alumni.
Coordinate the implementation of marketing programs that offer valuable benefits and services to the diverse segments of the CSUSB Alumni community, while contributing significant revenue for Alumni Relations.
Assess and track marketing campaign outcomes. Conducts audience research, tracks participation, and satisfaction data related to programs and activities.
Provide lead work direction to social media/marketing student assistants, ensuring compliance with policies, procedures and outside regulations pertaining to the program.
Constituent Relations and Engagement:
Coordinate with individuals at all levels within the organization to optimize resources, increase participation, and enhance event and program content. Assist in identifying influential faculty, staff, and alumni to feature at regional events.
Collaborate with the Alumni Engagement Specialist with planning and delivering personal and professional development programs that engage alumni.
Evaluate marketing campaigns and programmatic offerings for effectiveness. Maintain records and metrics, perform statistical analyses, formulate recommendations and prepare specialized reports.
Represent the University CSUSB Alumni in the community, as directed.
Signature Events:
Provide project leadership in developing, implementing and evaluating alumni events and programs such as Grad Days, Diploma Packing Parties, and Commencement volunteer activities, while also supporting broader organizational projects and goals.
Coordinate post-event reporting and tracking to align with strategic framework in the cultivation and stewardship of alumni participants. Evaluate and adjust programming as needed to enhance engagement and maximize outcomes.
Monitor and evaluate alumni participation and satisfaction data for programs and activities, applying a theoretical knowledge base to develop recommendations and conclusions. Use this data to adjust current programming to maximize engagement and outcomes. Assist in development, implementation and assessment of goals for each event according to best practices.
Other Duties:
Apply a thorough knowledge and understanding of the university's, CSUSB Alumni Association (CSUSBAA's) priorities and programs, and exercise consistent outstanding customer service. Remain current and competent through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses as directed.
Provide guidance to colleagues in the Alumni Relations Office on related programs, workshops, and events as directed. Work collaboratively with peers in the Division.
Philanthropic Support and Affinity Programs:
Assist in development, implementation of goals, and lead marketing effort to solicit current students and alumni for philanthropic support for the university. Identify and coordinate development and fundraising events and strategies to increase the number of student donors to the university through the Senior Class Gift campaign and other communications and programming.
Maintain development, fundraising events, and strategies to increase the number of alumni donors to the university through the Alumni Membership campaign and other assigned communications and programming.
Facilitate the implementation of marketing programs that provide valued benefits and services to the diverse segments of the CSUSB Alumni base while providing significant revenue to Alumni Relations. Coordinate affinity partnerships and corporate sponsorships for department-wide support as directed.
Creates and updates content on the Alumni Relations website.
Perform other classification related duties as assigned.
Minimum Qualifications:
A bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Two years of related experience
Required Qualifications:
Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
Working knowledge of operational and fiscal analysis and techniques.
Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
Ability to train others on new skills and procedures and provide lead work direction
Available to work evening hours, weekends and occasional travel to off-site locations. Advance notice will be provided.
Preferred Qualifications:
Master's or higher is preferred
5 years of administrative work experience
Knowledge of and ability to apply fundamental concepts.
Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.
Working knowledge of budget policies and procedures.
Ability to make independent decisions and exercise sound judgment.
Ability to compile, write, and present reports related to program or administrative specialty.
Compensation and Benefits:
Anticipated Hiring Range: $4,750 - $5,000 per month
Classification Salary Range: $4,598 - $8,318 per month
The salary offered will take into account internal equity and experience among other factors.
The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.
