About the Opportunity
The Director of Marketing Operations and Administration (Director) functions as a key partner and trusted collaborator to the Vice President for Marketing (VP). They are responsible for ensuring the efficiency and effectiveness of the university marketing department and the VP by providing a broad range of organizational, functional and administrative leadership. They will execute a variety of time-sensitive responsibilities including routine interface with university and departmental colleagues on strategic, substantive, and confidential matters. This includes various projects that require working with the president's office and other key senior leaders.
The Director is responsible for developing effective systems to manage the operational and administrative needs of the university marketing department. They will oversee a team of professionals responsible for the successful planning and execution of marketing's portfolio. Administrative responsibilities include the management of contracts, managing budgets and timelines, draft communications, documentation and presentations on behalf of the VP, strategically scheduling meetings, preparing meeting agendas, follow-up documentation and action plans.
The Director will strive to stay one step ahead of the VP, providing thoughtful and clear communication to and on behalf of the VP, ensuring projects move forward and expectations are clear. This person must be an excellent communicator, proactively understanding priorities and responsibilities, and translating any updates and/or changes to the rest of the team and key partners.
This position is in-person. Some out of business hours work may be necessary on occasion depending on project priorities.
Qualifications:
15+ years of experience in planning, organizing, and directing the completion of strategic projects for large organizations while ensuring goals are met
Well-earned reputation as a pragmatic problem-solver who has a talent for organizing thoughts on complex issues and synthesizing a resolute strategy to address them
Strong organizational skills with the ability to build relationships and earn credibility throughout a diversified organization
Ability to handle and manage many activities at once, with grace and effective prioritization
A successful track record of working effectively and delivering results in a highly matrixed and fast-paced organization
Outstanding verbal and written communication skills
Agile thinker and executor with keen foresight who can pivot effortlessly
A self-starter who can take the lead when necessary
Ability to work independently as well as part of a cross-disciplinary team
An unwavering spirit of optimism, collegiality, curiosity and humility
Responsibilities:
Strategic Planning and Operational Management
Provide strategic thought partnership, sound perspective, and guidance to the VP and department colleagues
Implement effective systems to manage the operational and administrative needs of the university marketing department
Collaborate with department and division colleagues to determine and prioritize efforts, as assigned by the VP
Oversee the project management team to ensure cohesive and quality output of strategic initiatives, including prioritization, staffing, resources, and work plans
Assist with acquiring resources and coordinating the efforts of department-wide teams, personnel, third-party contractors or consultants in order to deliver projects or initiatives according to plan
Own internal communication strategies to optimize brand visibility and engagement with partners across colleges, institutes and key administrative units
Serve as a liaison with university partners on an on-going basis; effectively communicating to leadership and colleagues in a timely and clear fashion
Guide department communications to keep staff informed about strategy and organizational efforts
Perform other duties as assigned.
Administrative Strategies
Oversee daily operations through collaboration to perform an array of administrative tasks including proactively managing the VP's complex and ever-changing calendar. Remain aware of current priorities and long-term goals to coordinate the calendar in the most effective and productive manner, communicate important calendar shifts and collect information prior to meetings
Design and drive organizational rhythm, ensuring the team is focused on the highest priority topics at the right time
Independently create/prepare presentation decks, memos, letters, and other confidential correspondence, as needed, for the VP
Frequently attend meetings with the VP, setting agendas in advance, taking notes during, and manage expectations and team deliverables post
Influence and collaborate cross-functionally and at all levels
Promote a culture of high performance, high ethics, and continuous improvement by determining key performance indicators and how to measure team performance
Identify new concepts, workflows, policies, emerging technologies, and networking opportunities to support and elevate the VP and the department
Address any urgent issues to ensure minimal interruption to business operations
Perform other duties as assigned
Special projects
Execution of various short-term and long-term projects, initiatives, and work streams in accordance with the needs of the VP, university, and department
